Attendance Tracking
Kairos tracks two types of attendance: service attendance for Sunday, midweek, and special services, and fellowship meeting attendance for small group gatherings.
Service attendance
Service attendance is managed from the Attendance page in the sidebar.
Who records it
Admins, Pastors, and Leaders with branch permissions can record service attendance.
Creating a service record
- Go to Attendance
- Click + Record a service
- Fill in branch, service type, date, and optional details (theme, preacher, topic)
- Save — the service appears in the list
Checking members in
- Find the service in the list
- Click Check In →
- Mark each member as Present, Absent, or Virtual
- Optionally flag a member as a First-Time Visitor
- Save the roll
Service types

Fellowship meeting attendance
Fellowship attendance is managed from inside a fellowship's detail page, not from the main Attendance page.
Who records it
Fellowship leaders and co-leaders record attendance for their own fellowship. Pastors and Admins can record for any fellowship in their branch.
Creating a meeting record
- Go to Fellowships and open a fellowship
- Navigate to the meetings tab
- Click + New Meeting
- Set the date, topic, location, and optional notes
- Save
Taking attendance
- Open an existing meeting
- Mark each member as Present, Absent, Excused, or Late
- Add per-member notes if needed
- Save
My Attendance (personal view)
Every member has a private My Attendance page in the sidebar. It shows:
- 12-week attendance rate with a trend comment
- Services attended vs total services in the window
- Last seen date and service
- Punctuality breakdown (Present, Late, Virtual, Missed)
- Current attendance streak
- Full service history for the 12-week window
This page is visible only to the member, their pastor, and admins.
Attendance in reports
Service attendance trends appear in Reports → Attendance tab for Pastors and Admins. The chart shows average attendance rate over the last 8 weeks per branch, with trend direction indicators.
Leaders see attendance data scoped to their own fellowship or department members only.
