Fellowship Management
This guide covers how fellowship leaders and admins create, run, and maintain small groups in Kairos.
Creating a fellowship
Pastors and Admins create fellowships from Fellowships → + New Fellowship.
Required fields:
- Name (must be unique within the branch)
- Branch
- Fellowship type (K-Groups, Kharis Express, New Breeds, KOC, KOC Colleges)
- Leader (must be an existing branch member)
- Meeting schedule (e.g. "Every Friday, 6:30 PM")

- Co-leader

Managing the roster
Once a fellowship exists, members can request to join it. Each member can belong to one fellowship at a time.
Fellowship leaders can:
- View the full member roster
- Approve or reject join requests
- Remove a member from the fellowship
- View member contact details
Logging follow-ups
Follow-up notes on fellowship members help leaders track pastoral care. From the fellowship roster, open a member and add a follow-up:
- Date and time
- Contact method (Phone, WhatsApp, In-Person, etc.)
- Status (Successful, No Answer, etc.)
- Notes
Follow-up notes are visible to the co-leader as well, enabling collaborative pastoral coverage. Leaders receive alerts when a member has not been followed up within the configured window (default: 7 days).
Recording meeting attendance
From the fellowship detail page:
- Create a meeting record (date, topic, location)
- Open the meeting and mark each member's attendance: Present, Absent, Excused, or Late
- Add meeting notes or topics discussed
Deactivating a fellowship
Pastors and Admins can deactivate a fellowship using the Deactivate button on the fellowship card. All meeting records, attendance history, and follow-up notes are preserved.
Map view
All fellowships are visible on the interactive map. Members can search by postcode or country to find the nearest fellowship to them, with walking/bus/car/train travel times. See Fellowships for details.
